Reservations
To secure your booking:
- Review our Terms & Conditions and Privacy Policy on our website.
- Complete the booking form for your selected tour.
- Submit your deposit via bank transfer.
- All prices quoted are in US Dollar (USD). On request we offer prices in EUR and IDR.
Group Tour: Your spot is not guaranteed until we’ve received your deposit and sent written confirmation. As availability is limited, we recommend booking early to avoid disappointment. Last-minute bookings are accepted based on availability—please contact us to confirm.
Payment Methods
We accept payments via bank transfer to our respective accounts.
- The remaining balance is due 60 days prior to the departure date.
- The final invoice will be sent 30 days the departure date, showing monies paid and the balance due for the tour you have chosen. If the balance is not paid, the booking will be deemed to have been cancelled.
If you anticipate being unavailable near the payment due date, please inform us to arrange early settlement.
Cancellations policy
How to Cancel:
- Submit your cancellation in writing, signed by the person who completed the booking form.
- The cancellation is effective from the date we receive your written notice.
Cancellation Fees:
- More than 90 days before departure: Loss of deposit paid
- Less than 30 days before departure: All payments made for the tour will be non-refundable.
Changes to Itinerary
Waru Travel reserves the right to cancel or reschedule any tour due to circumstances beyond our control, including travel advisories, pandemics, epidemics, natural disasters or other force majeure events. In such cases, we will refund any outstanding monies to the relevant local agent. If a large portion of the balance has been transferred to a local tour operator, we may suggest booking an alternative tour in the future with an equivalent itinerary, so that the full value of your previous payment can be used. Please note that if the above circumstances occur during a tour, no refunds or transfers to another tour are possible. Therefore, travel insurance, including cancellation cover, is strongly recommended (see below).
Travel Insurance
It is our policy that all clients must obtain comprehensive travel insurance before starting their journey. Your insurance should include coverage for:
- Trip cancellations
- Accidents
- Medical evacuation
- Medical expenses
- Repatriation
- Loss of personal belongings
This coverage is essential, especially as many of our tours take place in remote or developing areas. Comprehensive insurance ensures adequate protection in case of unexpected incidents, including delays in reaching your final destination for scheduled international flights.
While not mandatory, we highly recommend securing travel insurance as soon as your booking is confirmed. This early coverage can safeguard against cancellation costs due to illness, whether affecting you or a close family member, before the trip begins.
Please note that Waru Travel is not responsible for insurance-related costs, loss of deposits, flight cancellations or delays, or penalties for non-refundable airline tickets. Additionally, we are not liable for any other expenses incurred by participants in preparing for a tour, or for insurance/rebooking fees if a tour is canceled, shortened, or delayed from reaching its final destination.
Passport and Visa
- It is the traveler’s responsibility to ensure they have a valid passport and the necessary visa, if required (About).
- To travel to Indonesia, your passport must be valid for at least six months beyond the end date of your tour.
- We are not liable for any expenses or losses incurred due to the traveler’s failure to obtain the required documentation.
- Additionally, we cannot be held responsible for your failure to comply with these regulations.
Health, Vaccinations and Safety
It is strongly recommended to consult a medical professional regarding necessary vaccinations or medications for the destinations being visited. Due to constantly changing recommendations regarding immunization requirements, malaria risk and vaccination certificates. However, as vaccination requirements and health recommendations may change, it is your responsibility to confirm with your doctor or healthcare provider.
Any costs arising from failure to comply with these recommendations will be your sole responsibility. If you have any health concerns or physical limitations, please inform us in your booking form or via email so we can prepare for emergencies if necessary.
We reserve the right to refuse service to any traveler who poses a risk to themselves or others.
Other important detail
Participants should prepare for the tour by reading the itinerary and related recommendations. Each participant is responsible for bringing appropriate clothing and gear as recommended in the tour information (About).
Birdwatching Requirements
- Most tours are designed to minimize strenuous activities, but participants should be prepared to walk several kilometers on varied terrain, often off established trails. Weather conditions may include heat, cold, wind, rain, or intense sun. Early starts and late returns are common to increase the chances of spotting specific species.
- Good physical health is essential, due to some itineraries may involve extended travel and long hours in the field. These are clearly marked as “Strenuous” under the “Walking Difficulty” section on our website. For health concerns or limitations, we recommend contacting us for guidance on tour suitability.
- Tour participants understand that this is a wildlife trip, and we are not responsible if certain species are not seen or specific locations are not visited due to circumstances beyond our control, such as weather or unfavorable natural conditions. This does not entitle the client to a refund.
- In some cases, participants may opt out of specific activities to pursue their own plans at their own expense (if permitted by the itinerary and guide). However, we cannot guarantee safety, quality, or other aspects of activities outside our direct supervision or control. Participants assume all risks and liabilities for independent activities conducted without our oversight.
- Small group tours require mutual consideration to ensure everyone enjoys the experience. Any antisocial or unsafe behavior—such as offensive language, racism, alcohol abuse, aggression, or failure to follow the guide’s instructions—will not be tolerated. We reserve the right to dismiss such individuals from the tour. Those dismissed will forfeit any right to refunds or complaints and shall bear all the extra costs of their return home from the point that they are dismissed.

If you have any complaints during the trip, please inform our team immediately. We will make every effort to resolve the issue quickly and to your satisfaction.
