By booking a tour or using our services, you agree to the following Terms & Conditions. Please read carefully before confirming your booking.

 

Booking & Confirmation

All bookings must be made via email, website, or authorized representatives.

A booking is considered confirmed once we receive:

Required booking details, and

A deposit or full payment (as specified).

We reserve the right to decline any booking at our discretion.

 

Payment Policy

A deposit (30–50%) is required to secure your booking.

Full payment must be completed before the tour starts (typically 14–30 days prior).

Payments can be made via bank transfer or other agreed methods.

Any bank charges or transaction fees are the responsibility of the client.

 

Cancellation & Refund Policy

Cancellations must be made in writing (email).

Refund eligibility:

More than 30 days before arrival: partial refund (excluding admin fees)

14–30 days before arrival: 50% refund

Less than 14 days: no refund

No refunds for: No-shows, Late arrivals, Unused services

 

Changes & Amendments

Changes to bookings depend on availability.

Additional costs may apply.

Last-minute changes may not be guaranteed.

 

Travel Requirements

Clients are responsible for:

Valid passport (minimum 6 months validity)

Visa requirements

For certain destinations, additional permits may be required.

Travel Insurance : It is our policy that all clients must obtain comprehensive travel insurance before starting their journey. Your insurance should include coverage for: Trip cancellations, Accidents, Medical evacuation, Medical expenses, Repatriation, Loss of personal belongings

This coverage is essential, especially as many of our tours take place in remote or developing areas. Comprehensive insurance ensures adequate protection in case of unexpected incidents, including delays in reaching your final destination for scheduled international flights.

 

 

Health & Safety

Clients must ensure they are physically fit for the tour.

Please inform us of any medical conditions or dietary requirements in advance.

 

Birdwatching & International Guests (Special Conditions)

Our tours include birdwatching expeditions in remote rainforest areas of Papua, which may involve: Early morning forest trekking, Uneven terrain, rivers, mud, and natural hazards, Long travel times in remote areas. Clients acknowledge that birdwatching tours are naturebased adventure activities and require a reasonable level of physical fitness and personal responsibility. We do not guarantee sightings of specific bird species, as wildlife is unpredictable and part of natural behavior.

 

Liability Disclaimer

We act as an intermediary between clients and local service providers.

We are not liable for: Delays, cancellations, or changes due to weather, natural disasters, or force majeure. 

Participation in all forest-based and birdwatching activities is at your own risk.

Clients acknowledge and agree that:

They are physically fit to join the tour

They accept inherent risks of wilderness travel, including but not limited to: insect bites, weather changes, slips, falls, or wildlife encounters

PT. Waru Rukmiara Bhumi, guides, and partners are not liable for any injury, loss, accident, delay, or damage during the trip

By joining the tour, you voluntarily release the company from liability related to natural risks inherent in forest and wildlife activities.

 

Force Majeure

We are not responsible for events beyond our control, including natural disasters, war, armed conflict, civil unrest, political instability, flight cancellations, or government restrictions.. Alternative arrangements may be offered where possible.

 

Environmental & Cultural Responsibility

Respect local culture, traditions, and communities

Do not damage wildlife or natural habitats

Follow guide instructions at all times

 

We promote sustainable tourism and conservation-based travel.

 

Photography & Media

We may use photos or videos taken during tours for promotional purposes unless you request otherwise.

 

Complaints

Any complaints must be reported immediately during the trip so we can assist.

Post-trip complaints must be submitted within 7 days.

 

Governing Law

These Terms & Conditions are governed by the laws of the Republic of Indonesia.

By confirming a booking, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
